1. Who processes the data

This page describes how personal data of customers, contact persons, and system users is processed in Dveře OK CRM.

The data controller is the operator of the Dveře OK system. The exact identification and contact details of the controller should be completed according to the real deployment of this application.

2. What data the system processes

Contact and identification data, especially first name, last name, company name, company ID, tax ID, email address, phone number, address, and internal notes related to contacts.

Data related to sales and service operations, for example invoice details, document items, measurement information, appointment dates, photographs, and uploaded attachments.

System user data, especially login email, password hash, name, role, account status, and sign-in history.

3. Why we use the data

To manage CRM records, maintain contacts, prepare offers and invoices, schedule measurements, and record related sales and service activities.

To manage user accounts, secure access to the system, and protect the operation of the application.

If Google Calendar integration is enabled, also to display and manage calendar events related to company operations.

4. Legal basis for processing

Processing is carried out mainly for the performance of a contract, compliance with legal obligations, protection of the controller's legitimate interests, and in justified cases on the basis of consent where consent is required.

5. Where the data comes from

Directly from customers, business partners, employees, and other authorized users of the system.

From internal sales and service processes or connected services when they are actively used in the application.

6. Who can access the data

Authorized employees and collaborators of the controller who need the data for their work.

Technology providers ensuring application hosting, database operation, file storage, or third-party integrations, only to the extent necessary to provide the service.

If the integration is active, selected data may be transferred to Google for calendar-related functionality.

7. How long we keep the data

We keep data for the duration of the business relationship and afterward for the period necessary to comply with legal obligations, protect legal claims, and document accounting or service history.

User accounts and related operational records are retained for the period necessary to ensure secure system operation and access management.

8. How the data is protected

We use access control, user authentication, hashed password storage, and technical measures appropriate to the nature of the operated system.

Uploaded files and operational data are stored in separate services, and access is limited to authorized users and connected services.

9. Your rights

You may have the right to request access to your personal data, rectification, erasure, restriction of processing, portability, and to object to processing where permitted by law.

If you believe your data is being handled in violation of applicable law, you may contact the controller or file a complaint with the relevant supervisory authority.
